TERMS OF SERVICE

User's Acknowledgment and Acceptance of Terms

C3 Virtual and C3 Fuzion ("C3," "we," "our," or "us") provide the www.C3Virtual.com and www.C3Fuzion.com websites and related services (collectively, the "Site") to you, the user ("you" or "Client"), subject to your compliance with all the terms, conditions, and notices contained or referenced herein (the "Terms of Service" or "Terms"), as well as any other written agreements between you and C3.

When using particular services or materials on the Site, users are subject to any posted rules applicable to such services or materials that may contain additional terms and conditions. All such guidelines are incorporated by reference into these Terms.

These Terms are effective as of the date noted above. We reserve the right to modify or update these Terms at any time without prior notice. Your continued use of the Site or our services constitutes your acceptance of any modified Terms.

Overview of Our Services

C3’s Terms are designed to ensure a professional, safe, and productive experience for both Clients and Virtual Assistants (VAs). Violation of these Terms may result in account suspension or termination.

​

For your protection, written confirmation is required for all purchases over $200. For example, if your C3 VA is purchasing event tickets or items exceeding $200, they must first send you a purchase summary. Once you provide written approval, the purchase can proceed.

​

Tasks and concierge requests are non-transferable. Plans or hourly packages purchased through C3 may only be used by the purchasing Client. Your C3 account is non-transferable and may not be assigned or sold to another person or entity.

 

After services begin, all communication—including but not limited to phone, text, Zoom, or other messaging—is considered billable correspondence. There is a minimum charge of 15 minutes per communication.

By purchasing or using any C3 service, you agree to our Terms of Service and Privacy Policy.

Requests & Tasks

All task requests must be submitted by phone, email, or SMS. Turnaround time depends on the complexity of the request, but we strive to provide the fastest possible service.

For examples of supported tasks, please refer to our "Services" page. By agreeing to these Terms, you confirm that your requests will remain within C3’s defined service scope.

Ownership and Confidentiality of Work Product

If a C3 Assistant creates original materials for you—such as research, templates, spreadsheets, reports, or websites ("Work Product")—C3 grants you a non-exclusive, royalty-free, perpetual, irrevocable, and non-transferable license to use the Work Product for your personal and commercial purposes.

Confidential Information includes any non-public data you provide to C3 or your C3 Assistant that a reasonable person would expect to remain confidential. Confidential Information does not include:

  1. Information already public or made public through no fault of C3,

  2. Information obtained lawfully without restriction before your disclosure,

  3. Information independently developed by C3 without using your confidential information, or

  4. Information required by law, subpoena, or to protect C3’s legal rights or property.

 

Intellectual Property includes your owned patents, trademarks, copyrights, and proprietary ideas shared during a project. C3 respects your ownership of all such materials.

Guarantee & Warranty

While we aim for excellence, C3 provides no warranty or guarantee regarding the accuracy, completeness, or suitability of information, deliverables, or outcomes produced by C3 or its independent contractors.

C3 is not liable for any data loss or file corruption that occurs through third-party platforms (e.g., Google Drive, Dropbox, Meta/Facebook) or through access you grant to shared accounts.

Cancellations

You may cancel services with C3 at any time with no cancellation fee. However, unused prepaid hours are non-refundable, and you remain responsible for any outstanding invoices or approved expenses.

Termination of Service

C3 reserves the right to terminate a Client relationship at any time, including but not limited to:

  • Repeated requests outside the agreed service scope

  • Unreasonable or unsafe requests

  • Abusive or disrespectful behavior toward any C3 team member

  • Conduct that violates our Terms or harms C3’s professional integrity

 

Independent Contractor Status

All C3 Virtual Assistants ("C3VAs") operate as independent contractors and are not employees, agents, or representatives of C3. C3 does not control or direct the day-to-day work of any C3VA and is not liable for their individual actions, omissions, or performance.

Clients acknowledge that any services or deliverables provided by a C3VA are the responsibility of the VA as an independent contractor under a separate contractual relationship.

Indemnification

You agree to indemnify and hold harmless C3 Virtual, C3 Fuzion, and their affiliates, officers, employees, contractors, and agents from any claims, damages, losses, liabilities, or expenses (including attorney fees) arising out of your use of our services, your violation of these Terms, or your relationship with any C3VA.

Liability, Disclaimers & Limitations

C3 Virtual and C3 Fuzion act solely as facilitators connecting clients and independent contractors (VAs). We make no representations or guarantees about compatibility, results, or outcomes from any VA relationship.

​

C3 is not liable for:

  • Any dissatisfaction, miscommunication, or performance issues between Clients and VAs.

  • Any loss, damage, or delay resulting from actions or inactions of a VA.

  • Any indirect, incidental, or consequential damages (including lost profits, business interruption, or data loss) resulting from the use or inability to use our services.

 

Refunds are discretionary only and may be issued solely at C3 management’s discretion.

 

Clients assume all responsibility for outcomes, decisions, and use of any VA-provided materials or advice.

Dispute Resolution

Any dispute, claim, or controversy arising out of these Terms or your relationship with C3 shall be resolved through binding arbitration in the State of Colorado, under Colorado law, without regard to conflict-of-law principles

.

The arbitrator’s decision will be final and binding. Each party shall bear its own costs and attorney fees unless otherwise determined by the arbitrator.

What Information We Collect and Why

We may collect personal information to:

  • Personalize and improve your experience

  • Enhance website performance and offerings

  • Provide better customer support

  • Process transactions securely

  • Send service updates, billing notices, or related communications

 

Your information will never be sold or shared with outside parties except for trusted service providers (e.g., payment processors or software partners) who assist in operating our business and agree to maintain strict confidentiality.

 

Disclosure to Third Parties

We do not sell, trade, or otherwise transfer your personal data. Exceptions apply only when:

  • Required by law or legal process

  • Necessary to enforce our policies

  • Required to protect our rights or the safety of our clients and team

 

Your Consent

By using our Site or services, you consent to this Privacy Policy.

 

Changes to this Policy

We may update this Privacy Policy periodically. Any revisions will be reflected by the "Last Updated" date above and posted on this page.

 

SECURITY

C3 values your privacy and data security. We support secure sharing of sensitive information, such as payment details or login credentials through LastPass, which provides enterprise-grade encryption and secure cloud storage.

​

Getting Set Up

To securely share sensitive information, contact your C3 Assistant directly by phone. Your Assistant will collect this information securely and store it in LastPass.

​

All data is encrypted before it leaves your device and can only be accessed by authorized personnel when performing specific, approved tasks.

​

How It Works

  • Your C3 Assistant can only access sensitive data when required for a specific, approved request.

  • Data is encrypted using 256-bit AES encryption, and even LastPass employees cannot view your information.

  • No credit card or password information is stored directly by C3 or its team members.

If you identify or suspect a security vulnerability, please contact us immediately at security@c3virtual.com.

We treat all security matters with the highest priority and will work with you to investigate and resolve any issues.
